 Using the editor

Overview
--------

Wherever you write more than a line on your site, you write it in the editor: the strip of buttons above a text box. It works the same way wherever you meet it.

The editor handles the words. Arranging the page itself, adding components and putting them in order, is a different job. [**Site components overview**](/articles/site-components-overview) covers that.

### Where you will find it

- The **Body** of a Text component, which is where most of the writing on an article or landing page goes.
- Other components that hold text, such as a CTA, an accordion item, a tab, an alert, a feature card or a step.
- The **Body** field of an event.

Fields that only take a single line, such as **Title**, **Label** or **Heading**, have no editor. If you cannot see a toolbar, that field is not meant to carry formatting.

---

The toolbar at a glance
-----------------------

The buttons sit in groups. On a narrower screen they wrap onto a second row, so the exact layout depends on your window.

Group

Buttons

What they are for

Text style

Bold, Italic, Strikethrough, Superscript, Subscript, Remove Format

Formats the words you have selected, or strips formatting off them.

Links and lists

Link, Bulleted List, Numbered List

Turns selected words into a link, or lines of text into a list.

Insert

Block quote, Upload image from computer, Insert Media, Insert table, Horizontal line

Adds a quotation, an image, a file from the media library, a table or a dividing line.

Structure and code

Paragraph menu, Insert code block, Styles, Source

Sets headings, adds a block of code, applies one of the site's own styles, or shows the HTML.

[**Formatting text and headings**](/articles/formatting-text-and-headings) covers the everyday buttons in more detail.

> **💡 Note:** There are no Undo and Redo buttons. Use the keyboard instead: Ctrl+Z to undo and Ctrl+Y to redo, or Cmd+Z and Cmd+Shift+Z on a Mac.

### The Text format setting

Underneath the box is a **Text format** setting, already set to **Full HTML**. That is the format the toolbar above is built for, so leave it as it is.

Basic HTML and Content give a smaller toolbar, and Plain text has no toolbar at all. If you switch after writing something, the site asks you to confirm, because some of your formatting may not survive the change.

---

Things that surprise people
---------------------------

These come up most often, and none of them is a fault.

### Headings start at Heading 2

![The Paragraph menu open on the editor toolbar, offering Paragraph and Heading 2 down to Heading 6.](/storage/qt6oDF5zHyIJAuxy5DCb23UPZEyUIe9WbfnEvLtN.png)

The heading menu shows **Paragraph** while the cursor is in ordinary text. It offers Heading 2 down to Heading 6. There is no Heading 1 because the page title is already the first heading on the page.

### There are two ways to add an image

- **Insert Media** opens the media library, so you can pick an existing file or add a new one. A file in the library can be reused across the site and replaced everywhere at once.
- **Upload image from computer** puts a picture straight into this text box. It is not added to the library, so it cannot be reused or replaced in one place later.

Use **Insert Media** unless you have a reason not to. [**Adding images, documents and video**](/articles/adding-images-documents-and-video) covers it in full.

### Pasted formatting comes with it

Paste from Word or a web page and the text keeps its old styling: colours, fonts and underlining all arrive with it. On a page that is meant to look consistent, that stands out.

Paste first, then select what you pasted and press **Remove Format** to strip it back to plain text before applying headings and bold with the toolbar. [**Tables and the Source view**](/articles/tables-and-the-source-view) has more on pasting cleanly.

---

Saving your work
----------------

Nothing you type is stored until you save.

1. Press **Save** at the top right of the form.
2. The page reloads and shows what you have written.

**Save** stays pinned at the top as you scroll, so you never have to hunt to the bottom of a long form. **Preview**, next to it, shows how the page will look without saving.

> **⚠️ Important:** Leaving a form open in a browser tab does not keep your work safe. If you are interrupted, save first. The site may offer to restore an unsaved draft when you come back, but treat that as a safety net rather than something to rely on. See [**Recovering unsaved work with autosave**](/articles/recovering-unsaved-work-with-autosave) for exactly how it works.
