Overview
--------

When you update a document, such as a new version of a policy, you usually remove the old file and upload the new one. Every page that uses the document shows the new file straight away. But the new file gets its own address, so any link to the old file's address, in an email or on another website, stops working.

The **Replace file** option avoids that. It puts the new file in place of the old one, under the same address.

The Replace file option is installed on your site.

Not switched on

It sits in the **Disabled** section of every media type, so it does not appear when you edit a file.

> **⚠️ Important:** Turning it on is administrator work. Once it is on, anyone who can edit media can use it.

Turning it on
-------------

1. Go to **Structure**, then **Media types**, and press **Manage form display** on the type, such as Document.
2. Drag the **Replace file** row up out of **Disabled**.
3. Press **Save**. Repeat for any other media type that needs it.

> **💡 Note:** We have not switched this on to test it on your site, because that changes your configuration. Try it on one media type first, and check that an old link still opens the new file.
